Build a weekly client report that separates delivery, traffic and enquiries

Organize the report into completed work, observed audience response and confirmed business outcomes. Give an AI assistant a small verified dataset and ask it to distinguish observations from explanations. End with one decision for next week and label missing measurements explicitly.

Agree on the question the report should answer

A useful weekly report helps a client decide what to continue, change or investigate. Start with the service you agreed to deliver and the business action the client cares about. A local business might want qualified enquiries; another client might need consistent communication with an existing audience. Write that objective above the numbers so a week of activity does not become a substitute for the agreed outcome.

Keep delivery counts separate from response measures. “Three approved posts published” describes completed work. “Forty-two sessions recorded for the campaign” describes a measurement. “The campaign created a sale” requires a stronger connection between the marketing activity and the purchase. These categories can appear together without being treated as equivalent evidence.

Make referral links readable in your records

Google Analytics documents adding campaign parameters to destination URLs to identify referring campaigns, with source, medium and campaign values visible in acquisition reporting. Parameter values are case sensitive. Choose a consistent naming convention before distributing links, and check how the resulting traffic appears in the client’s actual analytics setup.[1]

For our fictional Elm Accounting example, the working link is https://elm.example/contact?utm_source=linkedin&utm_medium=social&utm_campaign=monthly_reports. The address is an illustration, not a live destination. Use the client’s approved real URL when doing the work. Keep the campaign name stable across the agreed sequence and record which posts used it. A tagged link alone does not establish that an enquiry became a paying customer.

Write a report from a small fictional dataset

For the fictional reporting week September 21–27, 2026, assume the operator’s checked delivery log records three published posts. A separate analytics report records 42 sessions for the named campaign. The client confirms three enquiries during the week, including one booked introductory call, but has not connected those enquiries to the campaign. There are no verified purchases in the supplied dataset. All of these numbers are invented for this exercise.

A supportable summary is: “We completed the three agreed posts. Analytics recorded 42 sessions for the campaign. The business received three enquiries and booked one introductory call during the week; we have not established which of those came from the campaign. No purchase outcome has been verified.” This makes progress visible while preserving the difference between timing and attribution.

Do not calculate a campaign conversion rate by dividing the three enquiries by the 42 sessions when the enquiries have not been linked to that traffic. Instead, ask the client whether it can connect enquiry source and outcome in an appropriate existing record. If it cannot, keep the limitation in the report. A missing measurement is a useful next task; an invented connection is not.

Use an assistant to draft the explanation

Use this reporting prompt: “Use only the checked table below. Return completed work, observed response, confirmed business outcomes, missing evidence and one next action. Preserve each number and its date range. Do not imply causation, calculate unsupported conversion rates, or explain a change without evidence. Label any proposed explanation as a hypothesis and state what would help check it.”

Review the draft against the underlying records, then send the client a short summary and one decision. In this example, continue the agreed posting routine and improve enquiry-source recording before changing the content strategy based on a single week. At the next review, compare equivalent date ranges and definitions. If a definition changes, explain it instead of presenting the two counts as directly comparable.
