Use AI to update scheduled social posts when a client’s offer changes

Give the assistant the approved change and an inventory for one client. Ask it to identify affected captions, images, links and future repeats, then propose a correction for each item. Pause affected scheduled items while facts or assets remain unresolved. Review and apply approved edits, then reopen the saved posts to verify them. Before resuming, confirm the send time is still appropriate and in the future; reschedule to an approved future time or retire an obsolete promotion. Recheck saved pause and approval state.

1. Turn the client’s message into an exact change record

Start with one approved change, its effective date and the person who confirmed it. Record the previous fact, replacement fact, client name and affected offer. Include the event’s local date and time zone when relevant. If the message says only “move it an hour later,” resolve which event and which time before asking an assistant to update content. An incomplete instruction should produce a question, not a guessed correction.

Our fictional client, Fern Studio, has confirmed that its beginner pottery class on November 7, 2026 starts at 11:00 a.m. Pacific instead of 10:00 a.m. The location and booking destination stay the same. The client has supplied no current seat count. Treat this as approved brief version 2. All post records below are invented for this exercise; they are not customer records or results from a software test.

2. Collect the affected content before proposing edits

Sociamonials’ Queue documentation describes keyword and category filters, post details including attachments and links, and individual edit and pause/resume actions. Use these controls to inspect the client’s future posts. Its Marketing Calendar documentation also describes opening a scheduled post for editing and returning it to the schedule. Check the actual saved item after using either route.[1][2]

Build an inventory with an item reference, client, destination, publication state, scheduled time, caption, visible image text, link and repeat settings. Search the event name as well as the old time: a post may contain one without the other. Inspect relevant drafts and future repeats too. Have a person transcribe important image text if the assistant cannot reliably inspect it. Record that limitation so a text-only scan is never mistaken for a complete asset review.

3. Ask AI for a correction plan with reasons

Reusable prompt: “Compare approved brief version 2 with this inventory. Work only on Fern Studio’s November 7 beginner class. Return item reference, conflicting fact, proposed correction, missing evidence and verification needed. Preserve unrelated content. Check supplied image text and repeat settings as well as captions. Do not invent availability, discounts or booking terms. Treat already published items as a separate correction decision. Produce a plan; do not change or publish posts.”

Attach the complete change record and inventory to the prompt. A proposed caption for this example is: “Fern Studio’s beginner pottery class starts at 11:00 a.m. Pacific on November 7. See the class details and book your place.” The operator must check the existing booking destination before using it. If the destination still advertises the old time, leave the affected promotion paused while the client resolves the mismatch.

4. Work through the exceptions in the example

The worksheet contains six deliberately different cases. F1 needs a caption correction and a review of its future repeats. F2 has the correct caption but an image with the old time, so another caption edit would leave the actual problem in place. F3 is a general pottery-care tip and should remain unchanged. F4 adds “only two seats left,” which brief version 2 does not support; remove that claim or obtain current confirmation before using it.

X1 belongs to another client and must be excluded even though it contains the same time. F5 is already published: flag it for a separate client-approved correction, and inspect the live destination before deciding what to do. This plan makes no assumption that editing a scheduled record also changes a published network post. The table’s final column describes evidence to collect after an action, not evidence already obtained.

5. Verify each saved change before resuming

Review the assistant’s plan against every inventory row, including items it proposes leaving alone. Apply the approved edits to the affected client’s records, reopen them, and compare the saved caption, image, destination and send time with brief version 2. Event time and publication time are different fields: changing a class from 10:00 to 11:00 does not automatically mean the promotional post should move by an hour.

Keep a small completion log: item reference, change made, reviewer, saved-state check and unresolved issue. Review the remaining occurrences of recurring promotions and decide whether they still make sense after the event. Before resuming any paused item, inspect its publication time: if that time has passed or no longer suits the promotion, reschedule it to an approved future time or retire it if obsolete. Reopen the saved item and verify its send time, pause state and required approval. Resume only corrected items whose dependencies are resolved. If an edit fails or its saved state is unclear, inspect the existing item before trying again; creating a replacement post immediately could leave two promotional records to manage.

6. Make change handling part of your recurring agency service

A useful service deliverable is a short change report showing affected items, verified corrections and anything awaiting the client. Define which channels, response times and kinds of changes your service includes before offering it. Start with one client and a reviewed correction plan.
