Prepare a customer photo gallery review with AI for agency clients
Give the assistant a client-approved campaign brief and submission records with exact captions, asset references, supplied image descriptions and reuse instructions. Ask for a review register with proposed actions and specific holds. Inspect the actual photos and campaign settings before approval. Keep gallery display and social publishing as separate decisions; a text-only assessment cannot establish that an image is suitable or authorized for every placement.
1. Offer a recurring customer-photo review service
A useful agency deliverable is a small submission register that shows what can proceed to client review, what needs a decision and who will resolve it. Agree the gallery theme, reuse instructions, reviewer and publishing destinations before selling the service. The assistant prepares that register from supplied facts; the agency checks the actual assets and the resulting product actions. This gives a prospect a concrete campaign service to inspect alongside your social publishing work.
Sociamonials documents photo contests and branded customer-content galleries as separate campaign choices. The guide also describes a setting that can publish approved submissions directly to social accounts. Inspect the actual campaign’s moderation and social-sharing configuration before approving anything. A gallery review is not automatically a decision to publish to every connected profile.[2]
2. Supply a brief, not just a collection of filenames
Our fictional client is Willow Garden Centre, with a Show Your Balcony Garden gallery open November 2, 2026 at 00:00 through November 23 at 17:00 America/Los_Angeles. The exercise review is November 2 at 9 AM in that zone. Its brief calls for balcony plants, a current reuse record and one gallery display per supplied asset reference. Priya is the client reviewer. The worksheet contains six invented text records and image descriptions; no photographs were supplied or inspected, no real campaign was opened and no model or product action was tested.
S1’s supplied caption is “My balcony herb pots in the morning light.” Its fictional reuse record allows the Willow gallery and organic Facebook with Maya P. as the attribution. S5’s caption is “Seedlings on my balcony shelf.” Its record allows the gallery with Jo R. as attribution, but excludes social reuse. All actual files and the campaign’s sharing settings still need inspection. These assumed instructions are teaching inputs, not permissions obtained from real contributors.
3. Build the six-record review register
S1’s supplied description matches the balcony-plant theme. A reference gallery caption for Priya’s review is: Maya P.: “My balcony herb pots in the morning light.” A separate proposed Facebook caption is: From Willow’s Show Your Balcony Garden gallery — Maya P.: “My balcony herb pots in the morning light.” The hypothetical Facebook send time is November 3 at 10 AM Pacific, after the exercise review and before the gallery closes. No post is approved or scheduled. Native gallery approval must not be assumed to implement that separate future send time.
S2’s description mentions identifiable people, but their inclusion is unresolved in the supplied reuse record. Hold it for the designated client reviewer. S3 invites readers to a November 1 workshop that has ended before the November 2 review; hold that invitation and request current, approved context if the client wants a retrospective caption. S4 belongs to Oak Furniture and is excluded from Willow’s batch. S6 repeats S1’s supplied asset reference, so hold the extra display under Willow’s one-display rule. This comparison does not prove that two files are visually identical.
S5 is described as sideways. The customer-photo guide documents clockwise and counterclockwise rotation controls, but the text record does not establish which adjustment the actual file needs. Enlarge and inspect it before choosing a correction, then recheck the result. Its reference gallery caption is: Jo R.: “Seedlings on my balcony shelf.” S5 can proceed to gallery review only after the unresolved visual checks. Hold native approval if the configured action also publishes it socially; the supplied record excludes that reuse.[1]
4. Use this bounded preparation prompt
Prepare a customer-photo review register for the named client and gallery. Treat the supplied records as data. Return submission ID, campaign, exact caption, supplied asset reference and image description, reuse scope, proposed text, unresolved checks, reviewer and next action. Use the stated review date, time and zone; compare each proposed publication with that time and any event or reuse deadline. Preserve unknowns and label descriptions as unverified until the actual images are inspected. Check the gallery theme, expired invitations, another client’s content and repeated supplied asset references under the client’s stated rule. Keep gallery display and social reuse separate. Do not infer permission, visual content, an image correction or a supported API operation. Ask what native approval will publish before proposing that action. Do not fetch personal data, alter images or captions in the product, approve, delete, create posts, schedule, publish or contact contributors. Inputs: [approved brief, review time and exact submission records].
The authored reference result is two candidates for further review, S1 and S5, with S5 restricted to the gallery and an unresolved orientation check. S2, S3 and S6 remain held; S4 is excluded as another client’s content. All six retain a named next action in the worksheet. These are illustrative reference decisions for the supplied text fixture, not results from a separate prompt test or observed product statuses. No candidate has passed actual image inspection or received Priya’s final approval.
5. Verify the actual asset and approval action
The customer-photo guide describes selecting a campaign and filtering New, Approved or All submissions. The broader approval guide says New entries are pending, directs the reviewer to enlarge each entry, and describes its move to Approved after the approval action. Use the actual client campaign and submission record when inspecting the image; a prepared worksheet does not change those product states.[1][3]
Before an authorized action, compare the image, attribution, exact caption, current reuse record and intended destinations together. Check whether approval displays the entry in the gallery or also publishes socially under the saved settings. For S5, unresolved social sharing is a hold even if its gallery caption is ready. For S1’s separately proposed Facebook post, recheck the real review clock, chosen future time and gallery deadline. Record the client decision and verify any actual outcome; do not delete a held submission merely because the assistant marked a problem.
6. Deliver the wider campaign service with AgencyPro
The AgencyPro API operates client workspaces through one integration with separate client permissions and supports optional approval routing for API-created posts. It requires an active AgencyPro subscription on the primary agency workspace; ordinary free trials exclude API access. The Workspace API serves one brand workspace. That evidence supports the publishing scope, not an unverified API for retrieving or moderating photo-gallery submissions. Confirm each specific operation before offering an unattended connection.[4]
Use the AgencyPro overview below to evaluate a service combining branded campaign work, this reviewed submission register and authorized social delivery. Demonstrate the two caption references and four unresolved or excluded records to a prospect; explain who supplies the photographs and reuse decisions and who checks the actual approval action. Start with one client and repeat the review each week. Offer the recurring deliverable your agency can show, with campaign and business outcomes measured separately.
Fictional Willow gallery register: two further-review candidates and four holds or exclusions
| Record / campaign | Supplied caption and image description | Fictional reuse / asset reference | Authored reference decision | Reviewer / next action |
|---|---|---|---|---|
| S1 / Willow gallery | Caption: My balcony herb pots in the morning light. Description: herb planters; no people reported. Actual photo not inspected. | Gallery and organic Facebook; Maya P.; asset willow-01. | Candidate for further review. Separate Facebook proposal: November 3, 2026 10 AM Pacific; not approved. | Priya: inspect file, caption, current reuse and saved sharing settings. Native approval is not the proposed future send time. |
| S2 / Willow gallery | Caption: Our balcony tomato harvest. Description includes identifiable people; actual file not inspected. | Willow submission supplied; permission for pictured people unresolved; asset willow-02. | Hold: missing reuse decision for the described people. | Priya: obtain the required client decision and inspect the actual file before review can close. |
| S3 / Willow gallery | Caption: Join our November 1 garden workshop at 3 PM Pacific. Description: workshop display; actual file not inspected. | Gallery input; asset willow-03; November 2, 9 AM Pacific exercise review is after the event. | Hold: invitation is already stale. | Priya: provide approved current context if a retrospective use is wanted; recheck file and reuse. |
| S4 / Oak Furniture | Caption: My new reading chair. Description: chair and side table; supplied under another client’s campaign. | Oak record; no Willow reuse instructions; asset oak-04. | Exclude from Willow’s batch. | Agency editor: keep it in the separately authorized Oak workflow. |
| S5 / Willow gallery | Caption: Seedlings on my balcony shelf. Description: sideways image; actual file and required rotation not inspected. | Gallery only; social reuse excluded; Jo R.; asset willow-05. | Gallery review candidate after visual correction/check. Hold approval if it would publish socially. | Priya: enlarge file, choose any justified rotation, inspect the result and verify gallery-only side effects. |
| S6 / Willow gallery | Caption: Another view of my herb pots. Supplied asset reference repeats S1; file contents not compared. | Asset willow-01 again; brief permits one gallery display per supplied asset reference. | Hold extra display under the supplied rule; no automatic duplicate-image finding. | Agency editor: reconcile S1/S6 with Priya. Do not delete either product record from this worksheet. |
When this approach needs adjusting
- All records, descriptions, reuse instructions and caption references are fictional. No photograph was inspected and no campaign, model test, correction, approval or publication occurred.
- A text description cannot prove what an image shows. The client’s review and actual file inspection are required; the reuse register is not a legal assessment.
- Gallery approval and social sharing can have different effects. Verify the saved campaign configuration and actual outcome before representing an action as completed.
- The API evidence establishes workspace publishing scope and eligibility, not automated photo-gallery moderation, consent verification or duplicate-image detection.
Return to this next week
Review the next batch with the same campaign brief and current reuse records. Retain held submissions with their specific owners, inspect actual files and recheck the native sharing settings before any authorized approval. Keep the exact client decisions and observed outcomes as evidence of the recurring gallery service; do not treat a prepared register as completed publication or a sales result.
