Build client hashtag groups with AI from approved post topics
Give the assistant approved client facts and complete posts, then ask for a small named hashtag pool for each distinct topic. Sociamonials’ native Hashtag Groups guide describes random selection from a pool using the count set for each network. Review every tag, not only one possible selection. Keep each pool with its intended captions and count settings, then inspect the actual configured group and composed post before an authorized publishing task.[1]
1. Create a usable client library
A hashtag library can be one part of an agency’s recurring content service: a client-specific set of named pools, full captions they fit and clear reasons to retire or revise them. Begin with the customer question in the post rather than asking for popular tags in isolation. Agree the scope of the deliverable, the client reviewer and which profiles it is intended for. The worked example below supplies complete candidate pools and copy, not a list of words to add to every post.
The native Sociamonials guide describes opening Hashtag Groups from the hashmark icon in the publishing interface, creating a named group and choosing counts separately for social networks. It says the tool randomly selects tags from the group according to those counts. Those documented settings make the full candidate pool relevant to review; a pleasant-looking sample does not establish that every other candidate is suitable.[1]
2. Keep source facts and settings explicit
Birch Bicycle Workshop, agency editor Kai and client reviewer Rowan are fictional. The supplied exercise brief says the workshop offers flat-tire repair and chain cleaning, asks customers to discuss appropriate maintenance, and provides a repair quote after inspecting the bicycle. It supplies no free tune-up, discount, address, service guarantee or turnaround promise. BB-IG is an illustrative Instagram profile label, not a real account ID. All pools, posts and decisions are Codex-authored reference material; no separate assistant trial, saved product group, random draw or publication was performed.
The exercise review clock is November 10, 2026 at 9 AM America/Los_Angeles. Proposed uses are November 11, 12 and 13 at 10 AM in that zone, after review. A supplied older repair-night event ran November 6, 2026 from 3 to 5 PM Pacific, so its invitation is already expired. Two proposed new pools have no saved product settings yet. Legacy pool L1 is supplied with an Instagram count of two; its other network counts are unknown. U1 has no supplied counts at all. Do not infer one row’s configuration from another.
Use these complete source captions: P1: Flat bicycle tire? Ask Birch Bicycle Workshop for a repair quote after we inspect your bike. P2: Ask Birch Bicycle Workshop about chain cleaning and the maintenance your bicycle needs. P3: Not sure which maintenance to request? Ask Birch Bicycle Workshop what to check before choosing a service. The older E1 caption is: Join Birch Bicycle Workshop’s repair night on November 6 at 3 PM. P1 and P2 have proposed groups in the worksheet. P3 has a candidate pool but remains held until its configuration and actual use are reviewed. E1 remains held because removing an event hashtag would not fix the expired invitation.
3. Make every tag fit the paired caption
For P1, propose G-flat-v1 with #BirchBicycleWorkshop, #FlatTireRepair, #BikeMaintenance. The brand identifies the fictional workshop, the repair tag matches the flat-tire question and the maintenance tag fits the supplied service context. For P2, propose G-chain-v1 with #BirchBicycleWorkshop, #ChainCleaning, #BikeCare. Keep the chain-specific pool with the chain-cleaning caption. These spellings are authored topic candidates, not researched popularity rankings, verified trends or evidence of how the tags are used on a live network.
Both new records propose an Instagram count of two for the exercise. That is a chosen example setting, not a recommendation about the ideal number for any network. Their supplied saved counts are unknown because neither group exists in this fixture. Every other network’s setting is also unknown and requires an explicit choice before use there. Review the actual destination’s current requirements and inspect the composed result; do not turn one proposed count into a universal default.
Legacy L1 contains #BirchBicycleWorkshop, #BikeCare, #FreeTuneUp. For a simple exercise selecting two distinct tags, the three possible pairs are #BirchBicycleWorkshop with #BikeCare; #BirchBicycleWorkshop with #FreeTuneUp; and #BikeCare with #FreeTuneUp. Only the first pair avoids the unsupported free offer. A single harmless pair could therefore conceal the problem in the pool. This is a combination check, not a recorded draw, a measured probability or a claim about the product’s selection distribution. Exclude #FreeTuneUp from any proposed replacement before testing a composed post.
4. Give the assistant a bounded review task
Pair the complete brief, captions and worksheet with this reusable prompt: Prepare a client hashtag-group review for Birch Bicycle Workshop using only the supplied services and P1–P3. Return each full caption, named candidate pool, every tag, supplied versus proposed network counts, intended profile label, proposed date and a reasoned decision. Review every candidate against the caption and business facts. Do not invent popularity, trend, reach, discount, free-service or guarantee evidence. Reject #FreeTuneUp in L1; one possible selection that omits it does not clear the pool. Mark unsupplied counts unknown. Compare proposed uses with November 10, 2026 at 9 AM America/Los_Angeles and any relevant event or offer end. Hold E1’s expired November 6 invitation, including its proposed November 12 reuse. Keep U1 held until settings and use are reviewed. Do not open accounts, save groups, queue, publish or contact anyone.
The reference result is two new topic-pool candidates, one legacy-pool exclusion, one expired-invitation hold and one missing-settings hold. These are authored comparison decisions for checking a real response. If the assistant adds unrelated services, treats a fictional tag as trending, fills an unknown count from L1 or approves the old invitation because its tag was changed, request a corrected result. Keep the exact caption and group version together when the client requests revisions.
5. Check the actual group and final post
Kai’s next task would be to locate the actual client workspace and profile, create a separately named candidate group and verify its saved contents and each intended network count. Rowan should review the tags against the current services and paired copy. This worksheet itself changes no product setting. Do not overwrite a shared group that other posts depend on without checking its uses. If the actual interface or integration cannot establish a setting, leave it unresolved rather than presenting a proposal as a saved value.
Inspect the actual selected hashtags and full composed post, including any inherited preset or first-comment choice, before a separately authorized publishing action. In this exercise the intended copy is the named caption plus its reviewed topic pool; a live selection still needs inspection. Check factual qualifications, actual destination, date and current event context again. A valid group does not establish that the whole post is current or that it was scheduled or delivered.
6. Show how the deliverable fits an agency service
The AgencyPro API operates multiple client workspaces through one integration, with per-client permissions and optional approval routing for API-created posts. It requires an active AgencyPro subscription on the primary agency workspace; ordinary free trials exclude API access. The Workspace API serves one brand workspace. The native Hashtag Groups instructions do not establish a tested API or assistant operation for creating, changing or previewing these groups; inspect the actual available operation before building that integration.[2]
Use the AgencyPro overview to evaluate the client-workspace setup for a recurring service that includes this library and reviewed content delivery. Show a prospect the complete caption/pool pair, the legacy free-offer exclusion and the difference between proposed and saved settings. Explain who checks actual configuration and approves publication. Track accepted library records and verified publications separately from audience performance or paid subscriptions. Revisit groups when a client’s services, campaign or source copy changes.
Illustrative Birch hashtag library: topic pools, copy and reuse decisions
| Item / supplied state | Complete proposed pool | Supplied versus proposed counts | Complete caption / proposed use | Decision / next owner check |
|---|---|---|---|---|
| P1 / new G-flat-v1; no saved group exists in fixture | #BirchBicycleWorkshop #FlatTireRepair #BikeMaintenance | Saved counts unknown. Propose Instagram 2; other network counts unknown, not configured. | Caption: Flat bicycle tire? Ask Birch Bicycle Workshop for a repair quote after we inspect your bike. BB-IG; November 11, 2026, 10 AM Pacific; proposed only. | Candidate. Kai checks actual workspace, saved pool/count and composed tags. Rowan reviews current service facts and final post. No saved group or schedule verified. |
| P2 / new G-chain-v1; no saved group exists in fixture | #BirchBicycleWorkshop #ChainCleaning #BikeCare | Saved counts unknown. Propose Instagram 2; other network counts unknown, not configured. | Caption: Ask Birch Bicycle Workshop about chain cleaning and the maintenance your bicycle needs. BB-IG; November 12, 2026, 10 AM Pacific; proposed only. | Candidate for chain-cleaning copy. Rowan checks all tags fit. Kai verifies real profile, exact group version/count and composed post before an authorized action. |
| L1 supplied legacy pool: #BirchBicycleWorkshop #BikeCare #FreeTuneUp | No replacement saved. Exclude #FreeTuneUp before proposing a reviewed group for P3. | Supplied Instagram 2; other network counts unknown. No change applied. Do not reuse this setting as another row’s saved count. | Intended caption: Not sure which maintenance to request? Ask Birch Bicycle Workshop what to check before choosing a service. No use date authorized for L1. | Reject current pool: free tune-up unsupported. One of three illustrative distinct pairs omits the bad tag; the other two contain it. Kai must review the entire replacement pool. |
| E1 old event invitation; original pool #BirchBicycleWorkshop #BirchRepairNightNov6 | No current event pool proposed; removing the dated tag does not repair the invitation. | All supplied network counts unknown; no proposed count clears an expired invitation. | Caption: Join Birch Bicycle Workshop’s repair night on November 6 at 3 PM. Proposed November 12 reuse follows the supplied November 6, 3–5 PM event and November 10 review. | Hold stale invitation. Rowan must supply current context before a revised retrospective or new event brief; Kai checks the whole post, not only its tags. |
| U1 proposed G-general-v1; no saved counts supplied | #BirchBicycleWorkshop #BikeCare #BikeMaintenance | Saved counts unknown. Proposed counts unresolved for every network; do not inherit L1’s Instagram 2. | Caption: Not sure which maintenance to request? Ask Birch Bicycle Workshop what to check before choosing a service. BB-IG; November 13, 2026, 10 AM Pacific is a proposal only. | Hold missing settings and use review. Rowan checks all pool terms; Kai establishes intended count, real destination and actual saved values before any action. |
When this approach needs adjusting
- The business, people, labels, pools, captions, settings and dates are fictional Codex-authored references. No separate assistant trial, random draw, actual configuration change or publication occurred.
- Candidate tags are based on supplied topics. Their live usage, availability, popularity, restrictions, ranking effect and audience performance have not been measured or verified.
- The exercise count of two is not a platform-wide recommendation. Unknown counts stay unknown; verify the current destination requirements, saved configuration and composed post.
- The sources establish native group behavior and API scope, not a tested hashtag-management endpoint, guaranteed visibility, completed client approval, scheduling or delivery.
Return to this next week
Review the next current client batch against the exact pool version intended for each caption. Remove unsupported or expired candidates from proposed replacements, recheck every network count and inspect composed posts. Keep a record of accepted, revised and held pools. Verify actual publications separately and assess audience or commercial results only with real measurement.
